Terms and conditions



These terms and conditions apply to anyone making a booking with the The Stag and Hen Company. The group leader is responsible for ensuring that all group members are aware and adhere to the terms and conditions.



Privacy


The Stag and Hen Company will only use your details to process your order with our suppliers for administration purposes and processing. We do not issue them to third parties for marketing purposes.



Bookings


The Stag and Hen Company cannot guarantee any bookings until a deposit of 20% has been received with a booking form. We will then confirm your booking. If your chosen weekend is no longer available we will offer an alternative. If you do not wish to accept the alternative we will refund your deposit in full. The final payment is due together with your confirmed group size no less than 42 days prior to your event date. If full payment is not received by this date then we reserve the right to cancel your booking and cancellation charges will apply. Payments by cheque should be 1 cheque only. Made payable to The Stag and Hen Company. Credit card payments are subject to a 2.5% card processing fee. No charge for debit cards.



Cancellations and amendments


If at any time you wish to cancel your booking, you must inform us in writing and the following charges will apply.

More than 42 days from travel date - 20% of total costs of your event.

42 - 14 days - 50% of total costs of your event.

Less than 14 days - 100%.


If you wish to amend the number of people on your booking, you may do so with no loss of deposit (subject to minimum group size) up to 42 days before your event in writing, by post. Amendments less than 42 days before your event are at our discretion. No amendments will be accepted less than 14 days from the date of travel. If a group member needs to cancel within 14 days of travel we will not be able to offer any refund. You should take out travel insurance that covers for cancellations.


If for any reason we are unable to provide part of your event, we will offer an alternative. If you choose not to accept this alternative, we will issue a refund for that part of the event.



Minimum group size


Each package is based upon a minimum number of persons in your group. This will be shown in the description. If the group size falls below this minimum a surcharge of £10.00 per person will be added to your balance. Some activities require a minimum group size for the activity to take place. If your group size falls below the minimum required it will be classed as a cancellation.


Force Majeure


The Stag and Hen Company will not be liable for any lost or compensation for any unusual or unexpected circumstances beyond our control, which we could not have avoided. Force majeure means circumstances beyond our control (but not limited to) industrial disputes, natural disasters, fire, technical problems, bad weather and acts of Government.



Descriptions of events


Information and descriptions given on this website and other literature used by The Stag and Hen Company are correct at the time of print. However, they may change slightly during the year particularly if we have more than one supplier.


Photographs are used for illustration purposes only and are intended as a guide. Duration and itineraries stated may vary depending on suppliers and the number of participants on the day and may indicate the time you are at the venue and not the time you are participating in an activity. The Stag and Hen Company do their utmost to ensure that activities are as described but cannot be held responsible for any variations due to change by suppliers in location, equipment used and itineraries. Exact details will be given at time of booking.


Hotel ratings used on this site do not relate to any particular association and are a guide to the facilities only. Please see package details for a more accurate description.


Standard accommodation will have a limited range of facilities and services, but will be clean. Bedrooms may have en-suite facilities.


Two star accommodation will have more comfortable bedrooms and be better equipped. Most will have en-suite facilities and colour TV.


Three star accommodation will possibly be a larger hotel, offering greater quality and range of facilities and services. All will have en-suite facilities and colour TV.


Four star accommodation will have superior comfort and quality; all bedrooms with en-suite bath, fitted overhead shower and WC. The hotel will have spacious public areas and should have a restaurant and bar area.



All prices quoted on the website are subject to availability and may fluctuate depending on the date of your event.

Money paid to us


As required by law under The Package Travel, Package Holidays and Package Tours Regulations 1992 (SI 1992 No 3288), all monies paid to us is held in a separate trust account for your safety and reassurance. These arrangements ensure that payments made by you for your weekend would be refunded in the unlikely event of insolvency.



Restrictions


Some activities may have specific requirements in order to participate regarding health, height, weight or other requirements.

The minimum age for all activities and venues is 18 years (unless shown in the individual description). If anyone in your group looks younger than 21 they should carry photo i.d.

Our suppliers have their own terms and conditions.These will be sent with your confirmation and should be made aware to all party members.

Behaviour - All activity suppliers are aware that you are on a hen/stag party. They know that the emphasis is on fun but have the right to terminate any activity, transport or accommodation for dangerous, violent or inappropriate behaviour. If so, your insurance will be invalidated and no refund will be given. The Stag and Hen Company will accept no liability for any incident that occurs by any of the group whilst under the influence of drink or drugs.



Insurance


All suppliers carry public liability insurance.

By booking a weekend with us you agree to insure each member of your group to fully cover against personal accident or injury, loss of baggage and personal property, Cancellation and Curtailment.


We do not sell travel insurance. Links to on-line insurance companies that offer a range of products can be found at the bottom of this page.


Liability:

We can accept no liability whatsoever for any death, personal injury, loss or damage of any kind, unless caused by our own negligence. Insofar as we have any liability to you, then proceedings in respect of any such liability shall be governed by English law and the exclusive jurisdiction of the English Courts.


Venue rules


Individual venues will have their own house rules which will be explained to you and must be followed.



Security Deposits


Some hotels and venues require a security deposit or behaviour bond. If a deposit or bond is required we will advise you and will be payable by cash or credit card on arrival directly to the supplier.



Complaints


If you have a problem or complaint on the day, please bring it to the attention of the host or event manager at the venue as soon as possible so they have a chance to put matters right. If you are still unhappy please write to us within 14 days of the event with your complaint and we will take the matter up with our supplier.






Accommodation Only Booking Terms and Conditions.



Booking Confirmation:


Your voucher will be emailed to you and must be printed off and presented when you check in at the hotel. Failure to do this may lead to the hotel refusing your booking. This email voucher is your proof that the hotel booking has been prepaid. Payment is required in full at time of booking. Payments by cheque should be 1 cheque only. Made payable to The Stag and Hen Company. Credit card payments are subject to a 2.5% card processing fee. No charge for debit cards.


Amendments by You:

To make any amendments to your booking, please contact us by e-mail. All amendment requests must be received in writing and are subject to availability and a £20 amendment fee.
If you need to change your dates of travel, there may be other rates valid for the new dates requested. If the hotel cannot accommodate your requested amendment, your booking will automatically revert to its original status although we will always endeavour to offer a suitable alternative.


Cancellations by You:

To cancel your booking please contact us by e-mail quoting your booking reference. Once we have received your cancellation, an email to confirm this will be sent to you automatically. Any cancellation may be subject to cancellation charges as laid out below.


All cancellations must be received in the manner described above. It is the customer's responsibility to ensure that all cancellation requests are correctly submitted.


Our cancellation policy is as follows (unless otherwise specified on your booking confirmation): -


Up to 6 weeks before arrival - a cancellation charge equivalent to 20% of the total amount of the cancelled rooms.


Less than 6 weeks before arrival - a cancellation charge equivalent to 100% of the total amount of the cancelled rooms.


If you are going to arrive after 17h00 at the hotel, it is advisable to call them (the phone number is indicated on your email confirmation) and let them know. Should you fail to arrive at the hotel on the first night of the booking, the whole booking will be cancelled and you will be charged 100% for the booking.


Cancellations by us:

If the accommodation provider alters or cancels your booking, provided we are informed by it, we will inform you as soon as reasonably possible and will seek to ensure that the relevant hotel looks after any change of accommodation as quickly and efficiently as possible. It may not always be possible for us to notify you of any change before your departure. In the event of a cancellation by the accommodation provider, we have no liability to you to make refunds or pay any compensation.


Complaints:

In the unlikely event of you being unsatisfied with your hotel, please discuss any issues directly with the hotel management. Should they not resolve your complaint, please contact our emergency number which is indicated on your hotel voucher. Should you still feel that the complaint has not been resolved, please put your complaint in writing with full details of the actions you have already taken and send it to us within 7 days of your return.


Liability:

Given that we only act as agents for the accommodation provider, we can accept no liability whatsoever for any death, personal injury, loss or damage of any kind, unless caused by our own negligence. Insofar as we have any liability to you, then proceedings in respect of any such liability shall be governed by English law and the exclusive jurisdiction of the English Courts.


Hotel Facilities:

You acknowledge that the availability of the facilities and features listed for each hotel are under the direct control of the hotel and as such we cannot be held responsible if those facilities or features are not made available to you during the period of your stay. If a facility or feature is of particular importance to you, then you should check with us or the hotel that this facility or feature will be available during your dates of stay. Please note that, in particular, swimming pools and air conditioning are only available seasonally and it is your responsibility to check whether these facilities will be available during your stay. The client acknowledges that the inclusion in the hotel's facilities of car parking, means that a provision is made by the hotel for car parking. The client acknowledges that the availability and cost of the car parking is determined by the individual hotel. It is the responsibility of the Client to check the availability and cost of the car parking provided by each hotel.
